Position Summary

The Patient Coordinator’s primary role is providing optimal customer service to patients at the clinic. This will include taking care of all transactions at the front desk counter by communicating all recommended care to the patients, scheduling patient appointments, checking patients in and out, presenting financial plans, etc. While doing so, providing optimal patient care based on The Wellness Way approach to healthcare. You will be responsible for developing long term relationships with your colleagues & patients and connecting the clinic with the public.

The Patient Coordinator will stay in close communication with the Practice Manager and will be one of the first points of contact as needs arise from patients. They will ensure business is conducted in an accurate and timely manner and congruent with Wellness Way Standards. The Patient Coordinator will adhere to processes and procedures that are set in place by the Practice Manager. Includes a lot of variety and the person in this role will work closely with all team members. The right person will be self-managed and able to adapt to an ever-changing team-oriented environment. The right person must be a problem solver and solution oriented.

JOB RESPONSIBILITIES:

  • You are the first person our patients see when they come in our office and being personable with patients is a must.
  • Greets patients and checks them in, confirming their insurance status, the ways in which they will pay, their medical histories, and any other relevant medical information.
  • Takes general records for the doctor’s use in the examination and treatment.
  • Manages the practice’s schedule, makes appointments for patients, determines when the chiropractor is available and confirms appointments to make sure patients are on time.
  • Collects and processes payments from patients.
  • Controls the waiting room, attends to patient needs, and ensures the office runs on time.
  • Distributes educational information to patients as instructed by the chiropractor.
  • Maintains organized files on all patients.
  • Abides by HIPAA laws regarding sharing of personal medical information.
  • Attends to email correspondence.
  • Answers the phones and addresses all patient questions and concerns.
  • Keeps the office clean and presentable, doing spot cleaning throughout the day and thorough cleaning at the end of each business day
  • Performs light marketing duties & introduces our services to the public.

QUALIFICATIONS:

  • Must be personable with a professional demeanor and able to exercise courtesy and tact with all patients.
  • Must be willing to embrace a holistic health and Wellness Way philosophy and be willing to explain to patients how chiropractic medicine fits into that philosophy.
  • Must be able to multitask proficiently.
  • Must be incredibly intelligent and organized.
  • Sales experience preferred-previous experience selling membership plans and packages would be helpful.
  • Must have strong communications skills and be able to relate to people from all walks of life.
  • Must be proficient with technology with fast typing skills and ability to learn medical and insurance billing software programs.
  • Must be a self-starter and able to work with minimal supervision the majority of the time.
  • High school diploma or GED equivalent required.

Pay: Hourly Position. The Hourly rate is based on experience and qualifications. The employee is paid monthly

Schedule

The right person must be flexible on hours. Roughly 35 hours/week

Monday: 8am-6pm

Tuesday: 1230-6pm

*9am trainings every other week

Wednesday: 8am-6pm

Thursday: 1130-6pm

*1-2 evenings until 8pm for informational talks

Friday: OFF

*May require Friday half day in the future*

Saturday: OFF

Essential Duties and Responsibilities

Patient Coordinator

  • First point of contact for patients which will include greeting patients and answering the phones. While answering the phone: assisting patients with scheduling appointments, taking shipment orders, preparing these shipments to be sent out and answering any minor questions they may have
  • Checking patients in and out at the front desk, entering patient charges, collecting payment, presenting financial plans and loading patients to appropriate rooms
  • Overseeing the front desk responsibilities, while handling periodic interruptions
  • Create engaging environment for patients at the front desk
  • Ability to keep a clean and organized work environment
  • High focus in having the ability to work as a team but also independently
  • Create engaging environment for patients over the phone; navigate patient questions as needed, discerning when they should schedule an appointment
  • Other duties as assigned

Problem Solving

  • Problem resolution when patient issues arise. Keep the practice manager informed on significant issues
  • Use the Dignify System to navigate colleague relationships.
  • Ask for assistance, especially as problems/issues arise, from the Office Manager as needed.
  • Know what software to use when. Troubleshoot when able to then notify Practice Manager.
  • Suggest solutions to improve office or clinic.

Implementation

  • Carry out new product, services, and systems implementation as instructed by the of Practice Manager.
  • Assist in the transition to new Wellness Way Software when available.

Training and Development

  • Learn the basics of the Dignify System in regards to navigation and understanding.
  • Complete additional training and continuing education as asked.
  • Attend seminars and meetings assigned.
  • Attend all trainings that the office manager schedules.
  • Provide feedback on internal and external matters as they pertain to your office.
  • Understanding of Patient Coordinator role and fill in if need be.

  • Proficient in Microsoft Outlook, Word and Excel; previous computer & phone experience.

  • Must have the ability to work with multiple personalities, use clear judgement, work under pressure, multitask and handle emotional stress.
  • Excellent verbal and written communication skills.
